Booking process and confirmation
At Expert Camper Van, booking requests are made through our online system. Once your request is received, our team verifies vehicle availability and applicable conditions.
The booking is only considered confirmed when you have received written confirmation (email or WhatsApp) along with payment instructions and the specific conditions of your booking. Until then, the request is pending confirmation.
Important
Do not make payments or consider the booking as closed until you receive official confirmation from Expert Villa Care S.L.
Cancellation by the client
The client can cancel their booking at any time before the pick-up date. Refund conditions depend on the notice period and the specific conditions confirmed at the time of booking.
Date changes
Date changes are subject to vehicle availability. The rates in effect on the new selected dates will apply. Any price difference will be communicated before confirming the change.
Notice periods and refunds
Refunds derived from cancellations by the client are managed according to the specific conditions of each booking confirmed in writing. Notice periods and refundable amounts will be communicated at the time of confirmation.
As a general rule, the following considerations apply:
- Cancellations with more notice have better refund conditions.
- Last-minute bookings may have more restrictive conditions.
- Management fees and administrative costs may be deducted from the refund.
- Refunds are processed within a maximum of 14 business days.
Note: The exact conditions of your booking will be detailed in the confirmation email and the digital contract. We recommend reading them carefully before confirming.
No-show (non-appearance)
No-show situation
A no-show is considered when the client does not appear to pick up the vehicle on the agreed date and time without having cancelled or requested a date change in advance.
In case of no-show, no refund is made of any amount paid and the booking is considered cancelled without right to compensation.
Cancellation by the company
Expert Villa Care S.L. reserves the right to cancel a confirmed booking in the following situations:
- Force majeure: unforeseeable circumstances beyond our control (natural disasters, pandemics, government restrictions, etc.).
- Vehicle breakdown or damage: when the vehicle suffers a breakdown or damage that prevents its safe use before pick-up.
- Safety problems: any situation that compromises the safety of the client or third parties.
- Non-compliance with conditions: if the client does not meet the contract requirements (valid driving license, minimum age, etc.).
In case of cancellation by the company, the client will be notified with as much notice as possible and any amount paid will be fully refunded, without right to additional compensation.
Early returns and delays
Early return
If the client decides to return the vehicle before the agreed date, the proportional amount corresponding to the unused days is not refunded, unless prior written agreement.
Late return
Delays in vehicle return will be billed according to applicable rates and may generate additional charges. It is the client's responsibility to communicate any incident that may cause delay.
Booking deposit or signal
To confirm a booking, an initial deposit or signal may be requested. This amount is part of the total rental price and is deducted from the final payment.
The refund conditions of the deposit are governed by the periods and terms communicated in the booking confirmation. We recommend reading these conditions carefully before making any payment.

At Expert Camper Van we believe in transparency and clear communication. All cancellation, change and refund conditions are communicated in writing before confirming any booking.
